A new property manager joins the team. You want them working in the platform by end of day — but you need them to see their assigned properties and nothing else. Not the financials. Not the other portfolios.
Here is how to invite them and set that up in a few steps.
What you need
- An active BasePro account with at least one property or portfolio configured
- The email address of the person you are inviting
Steps
1. Open the team settings.
From your account settings, navigate to the team management area. You will see the current list of active members and a button to invite someone new.
2. Enter the new member's email and send the invitation.
Type the email address of the person you want to add. BasePro sends them an invitation link. They can accept it and set their own password — no additional setup required on your end.
3. Choose their role.
Before the invitation goes out — or at any time afterward — assign a role that reflects what this person needs to do. BasePro has four roles:
- Owner — full access across the account; typically the account holder.
- Admin — can manage properties, portfolios, maintenance, and reporting; cannot change account-level billing settings.
- Manager — access to the properties and portfolios assigned to them; day-to-day operational access.
- Viewer — read-only access to the areas they are assigned; cannot create, edit, or confirm anything.
For a new property manager handling a subset of your portfolio, Manager is usually the right choice.
4. Confirm the assignment.
Review the summary — the member's email, the role you assigned, and the properties or portfolios they will have access to (for Manager and Viewer roles). Confirm.
What you will see when it is done
- The new member appears in your team list with their assigned role.
- They receive the invitation email. Once they accept and log in, they see only what their role permits.
- You can adjust the role or access at any time from the same team settings area.
A note on access
