Is BasePro Right for My Operation?

2026-06-05 · 4 min read · BasePro

You're evaluating a new platform for your portfolio. Maybe you manage 12 units and want something that keeps up without needing an IT team to configure it. Maybe you run 180 doors across three ownership structures and the month-end close takes too long. In either case, two questions come up before anything else.

Can it handle my volume? And do I have to replace everything I already have?

Those are the right questions. Here are the honest answers.

Can it handle my volume?

BasePro works across portfolios from 5 properties to 400+. The core platform is the same at every scale — operations and financial management run from the same interface whether you're managing a handful of units or a large diversified portfolio. Scale is a setting, not a different product.

The three tiers — Starter, Professional, and Enterprise — unlock additional capabilities as your operation grows, but the fundamental platform is accessible from day one. A small operator running PORTFOLIO_A through Starter gets the same operations layer, the same ledger, and the same vendor assignment workflow as a larger operation on Enterprise. What changes are features like multi-vendor quote comparison (Professional) and WhatsApp Business dispatch (Enterprise), not the underlying structure.

If your operation is anywhere in the 5–400 range, the question isn't whether BasePro can handle the volume. The question is which tier's feature set matches where you are today.

Do you have to replace everything?

No. BasePro sits at the intersection of your operations and financial layers — it replaces the tools where those two things currently live in separate, disconnected places. Spreadsheet ledgers. WhatsApp coordination threads that have no record. PDF reports assembled by hand.

But BasePro coexists with infrastructure you've already invested in. If you use Hostaway or Guesty for short-term rental management, those integrations connect to BasePro. Your existing vendor contacts, your property records, and your tenant data come with you through the onboarding flow.

The displacement is targeted, not total. You're replacing the parts of your stack that don't talk to each other — not the entire stack.

Three signals that BasePro is a fit

Use these as a quick self-check before scheduling a conversation with the team:

1. Your operations and financial data live in different places. If tracking a maintenance job and reconciling the cost it generated requires opening two different tools, BasePro was built for that gap. The platform keeps those two things in the same record from the start.

2. You're managing multiple owners or reporting to stakeholders. The more people who need visibility into your portfolio — owners who want accurate monthly statements, managers who need to see the status of open work orders — the more the centralised ledger pays off. BasePro gives you the reporting layer without requiring a separate tool to assemble it.

3. Your current close takes longer than it should. If the end-of-month reconciliation is a multi-day exercise because your transactions live in bank exports and your tracking lives in a spreadsheet, that's the friction BasePro eliminates. The ledger builds as you operate; the close is already half-done by the time you get there.

If one or more of those signals is true for your operation, the fit conversation is worth having.

What BasePro doesn't replace

Honesty here matters. BasePro is the asset-intelligence platform real-estate operators run their portfolios on — operations and finance, unified. It is not a property search tool, a lease-signing platform, or a tenant communication portal that pushes messages to residents on your behalf. Those sit outside the platform's scope. If your primary need is a tenant-facing portal for rent payments, that belongs on a different surface.

The platform's job is your back office: operations, vendor coordination, financial records, and owner reporting. If that's the gap you're trying to close, talk to the team about your specific setup.
