How to Move Your Portfolio Over

2026-06-05 · 4 min read · BasePro

Most operators who are seriously considering a platform switch come with the same three worries. They know what the platform does. They want to know what moving over actually looks like — the timeline, the risks, what happens to the records they have.

These are the right questions. Here are the honest answers.

"Will my existing data come with me?"

Yes — and the onboarding flow is built around it.

When you start onboarding, you bring your property records and vendor contacts with you. BasePro's guided onboarding flow walks you through adding your properties, units, and the vendors you already work with. You are not starting from a blank slate; you are moving your operation into a connected system.

For integrations like Hostaway and Guesty, your reservation data connects directly through the integration. For other property and vendor records, the onboarding process walks you through importing them.

Bulk CSV import — where you upload a single file containing your full portfolio — is on the roadmap (Building). The supported path today is the guided onboarding flow, which brings in records in an organised, reviewed sequence rather than a single batch drop. The trade-off: it takes more time up front, but it also catches data issues before they land in your ledger.

Your transaction history builds from day one. Older records that do not come through during onboarding stay accessible in your previous system for reference — the ledger grows forward from the moment you start.

"How long will it take?"

The first property is operational within a day.

PROPERTY_01 can be live in BasePro — property record added, leases entered, first vendor assigned — on the first day of onboarding. That is your proof of concept. You see the full operations and financial cycle working on a real property from your portfolio before you commit the rest.

The full portfolio follows your pace. PORTFOLIO_A does not need to migrate all at once. You can move properties in groups — one building at a time, one region at a time, or all at once if you prefer a clean cutover. There is no deadline imposed by the platform.

Most operators work through the migration in manageable groups while keeping the rest of the portfolio running normally. Larger portfolios take longer by design — careful migration protects your financial records.

If you want a specific estimate for your portfolio size and structure, the sales team can walk you through what a typical onboarding looks like for operations similar to yours.

"Will my operation stop while I migrate?"

No. BasePro onboards alongside your existing operations.

You do not need to shut down your current system to start on BasePro. Properties can be onboarded one group at a time while the rest of your portfolio runs on whatever it runs on today. Vendors keep receiving notifications from your current workflow until you cut over each property.

The parallel running period is intentional. It gives you time to verify the data, train your team on the new system, and run one full billing cycle before you retire the old tools. You decide when to cut over each piece. The platform does not force a switchover date.

What does stop, for each property you have fully onboarded: the spreadsheet that tracked its rent, the WhatsApp thread for its maintenance requests, the manual process for its owner reports. Those stop because BasePro is now doing that work — not because of a hard cutoff.

Every migration is different. Portfolio size, entity structure, existing integrations, data quality — all of it shapes what your specific onboarding looks like. The questions above have honest general answers; your specific answers come from a direct conversation.
