How to Create a Maintenance Order

A maintenance request lands on your desk. You need to log it, get the right vendor on it, and confirm everything is moving — without losing the thread between a WhatsApp message and a spreadsheet row.

Here is how to do it from start to finish.

What you need

  • An active property in your portfolio (PROPERTY_01 in this example)
  • At least one vendor in your vendor list (VENDOR_A)

Steps

1. Open the maintenance order form.

From your operations dashboard, navigate to the maintenance section and start a new order. You will see a short form that walks you through the details one step at a time.

2. Set the location and category.

Select PROPERTY_01 from your property list. Choose the relevant room or area if applicable, then select the category that best describes the issue — for example, plumbing, electrical, or HVAC. Set the priority level.

3. Describe the issue.

Write a clear description of what needs to be done. Be specific enough that VENDOR_A has what they need to show up prepared. Add the estimated completion date.

4. Choose how to engage the vendor.

You will see two options: Direct Assign or Request Quotes. For a single vendor you already want on this job, select Direct Assign.

5. See the suggested vendors.

BasePro shows the best fits at the top — vendors who have worked on PROPERTY_01 before and whose category matches the order appear first. Select VENDOR_A.

6. Confirm the assignment.

Review your order summary. Confirm the assignment. BasePro sends a notification to VENDOR_A on their preferred channel the moment you confirm.

What you will see when it is done

  • The order status updates to show the vendor is assigned.
  • VENDOR_A receives a notification with the order details on their preferred channel (WhatsApp if configured, email otherwise).
  • The order is now tracked in your maintenance log for PROPERTY_01.
