Frequently asked questions
Quick answers to the questions operators and evaluators ask most.
For everyone
Do our property owners or investors have visibility into their numbers?
Owners receive a monthly statement — you click send, they get a PDF via email. Investors do not log in to BasePro; the operator generates and sends the data. The investor dashboard at the Professional tier is your view into their portfolio, not a separate login for them.
Read the full guide→Our team speaks Spanish — and we have Mexico-specific tax needs. Are you actually built for that?
Built in Spanish, not translated. CFDI 4.0, SAT compliance, ARCO data rights, LFPIORPI monitoring, RFC tracking, and NOM-151 retention are all native at the Enterprise tier. The primary language across the product is Spanish; English is full-parity. This is a Mexico-first platform.
Our maintenance vendors won't adopt new software. How does that work?
Vendors reply on WhatsApp — no account, no app, no password required on their end. Their responses appear automatically in the work order's activity thread. No vendor is contacted without explicit action from your team, so you stay in full control of every outbound message.
Evaluating BasePro?
Is our data isolated from other companies? Could your team see our records?
Your data is walled off at the database layer — the database itself refuses to return another company's rows, even if a software bug exists elsewhere. Our team cannot access your records without an audited support request that you initiate. Every access event is logged.
Read the full guide→Can records be altered retroactively? How do I know the audit trail is real?
Each record in the audit log links to the one before it. Altering any past entry breaks the chain, and the discrepancy is detected automatically every night. The same mechanism meets NOM-151 retention requirements for Mexican organisations — ten years of tamper-evident operational history.
Are you SOC 2 or ISO certified? What's your security posture today?
SOC 2 Type I is in progress, with a target completion in 2027. The controls are aligned today — we are not yet certified. Infrastructure is GDPR-aligned; ISO 27001 certification is not currently in scope. We can share our current controls summary on request.
Where does our data physically live? What about GDPR and Mexican ARCO rights?
Data is hosted on infrastructure with a GDPR-aligned posture and an EU data-residency option. For Mexican companies, the ARCO data-subject rights workflow — access, rectification, cancellation, and objection — ships at the Enterprise tier and meets the statutory 20-business-day response window.
Do you handle CFDI and SAT invoicing — and what about anti-money-laundering obligations?
CFDI 4.0 emission, reconciliation, and accountant CSV/XML export are all available on the Enterprise tier. LFPIORPI transaction monitoring and the manual-review queue for anti-money-laundering reporting obligations also ship at Enterprise. These are emission and reconciliation tools — not payment-rail infrastructure.
Read the full guide→Who on our team can see which financial data? Is access control granular?
Access is governed by 4 roles — Superadmin, Admin, Manager, and Operations — across 13 permission domains that cover all 16 modules. Each domain has its own on/off toggle per role, so you decide precisely which team members can view, edit, or approve financial data.
How is pricing structured? What's included in each tier?
Three tiers: Starter for teams getting started, Professional for full portfolio operations, and Enterprise for compliance-heavy or large-portfolio operators. Starter begins at $35/month. Exact Professional pricing is a short sales conversation — the scope varies enough that a fixed public price is rarely the right starting point.
Read the full guide→We manage properties across multiple legal entities. Can BasePro handle that?
The portfolio model groups properties under shared bank accounts and consolidated reporting — one operating system across all your entities. Multi-currency bank accounts are available at the Professional tier. Each organisation operates within a single country, which keeps accounting and compliance clean.
We have 5 units now but expect to grow to 200+. Will the platform scale with us?
From 5 properties to 400. Same operating system. Starter handles up to 5; Professional up to 50; Enterprise is unlimited. You move between tiers as your portfolio grows — the workflows, data, and integrations move with you, no migration required.
What happens to our data if we leave? Can we export everything?
Yes. Vault CSV export covers your full operational record. Enterprise accounts also have CFDI accountant CSV/XML export and report PDFs available on demand. You are not locked in — the data you put in is the data you can take out, in formats your accountant can use directly.
How long does migration from Yardi or our current spreadsheets take?
A guided four-step setup wizard walks you through configuration — most teams are operational the same day. The wizard covers properties, units, roles, and opening balances. Assisted data migration is available through our onboarding team for larger portfolios moving off Yardi or similar systems.
Read the full guide→Will the system approve invoices or move money without my sign-off?
No. Before any work order over your defined cost limit moves forward, a manager approves it. Before any bank account or compliance change, a second admin must sign off. The system handles the legwork and surfaces the decision — your team owns the call. Autonomous workflow agents are on the roadmap, in design.
Running BasePro?
How do maintenance and work orders actually work day-to-day?
Work orders move through a clear status pipeline — pending, quoting, assigned, in process, completed — visible on a kanban board with swimlane filtering by property, vendor, or priority. Every vendor assignment, photo upload, and cost update is tracked against the order in one place.
Read the full guide→Our team is in the field most of the day. Does BasePro work on mobile?
46 mobile screens are built and shipped — inspections, maintenance, vendor communications, and property detail are all mobile-first. The operations side is designed for field use. You can also review account balances and transaction history on mobile; finance entries can be made from the field or the office.
